This policy explains the information used when you request support, send a message, or choose to speak with our AI assistant.
What you share with us
Our support form asks for your name, email address, phone number, chosen program, and a short description of your needs. Our consultation request form asks for your name, email address, callback phone number, and consultation topic. You may also select an available 30-minute appointment time and provide optional notes. A selected time is held only after your request is saved, and the receipt says whether the appointment is confirmed or awaiting calendar verification. Leaving the date blank sends a general inquiry. Please leave out Social Security numbers, bank details, medical records, and sensitive documents.
We use your acknowledgement of this policy to confirm that you understand how your request will be handled. Submitting a form does not sign you up for advertising or marketing messages.
How requests reach our team
We use the information to review your request, respond using the contact details you provide, explain available resources, and coordinate appropriate follow-up. Our website sends submissions to the staff backend. A successful receipt is shown only after that service confirms it saved your request. Email notifications and confirmations may also be sent through Zoho Mail. For appointments, the selected time and reference number are saved in our staff scheduling records and Zoho appointment calendar. Personal notes are not included in the calendar event. Calendar reminders are sent to the office notification address configured in Zoho.
If we cannot confirm that your request was saved, the form keeps your entries and explains the failure. Please call us if delivery is uncertain. Do not assume that an error screen means a partially completed request was never received.
AI voice assistance
The browser voice assistant uses Vapi. It starts only when you choose the AI voice option and allow microphone access. Audio and conversation content may be processed by Vapi and the speech and AI services configured for the assistant so they can respond to you. You can end the session at any time or use the telephone numbers below.
The assistant must identify itself as automated. Any enabled call recording requires a notice before recording begins. A conversation is not a confirmed application, case update, or appointment unless the connected service confirms that action. Do not share passwords, financial account details, or unnecessary sensitive information with the assistant.
Access, service providers, and retention
Information is intended for staff who handle your request and service providers involved in hosting, secure storage, email delivery, appointment scheduling, and voice assistance. It is not intended for public display. Different service providers may retain technical logs under their own policies. We review information needs when responding to requests and managing follow-up, including operational and legal recordkeeping needs.
Contact us to ask what information we hold, correct your contact details, or request deletion. We will explain any recordkeeping requirement that affects your request. Please avoid sending sensitive documents in an initial privacy inquiry.
Essential browser storage
A short-lived, secure receipt cookie is used to verify a successful submission on the thank-you page. It contains receipt information, not your form narrative. Browser permissions are used for optional microphone access. The site does not require you to use AI assistance to obtain contact information or submit a form.
